CICSSG ProSpace

A comprehensive career fair platform that streamlined registration, QR check-ins, resume submissions, and event management for over 2,000 participants.

CICSSG ProSpace

ProSpace is a full-stack web application developed for the CICSSG and the DLSU-D Advancement and Alumni Relations Office (AARO) to power ProSpace 2026, one of the university's flagship career events. The platform centralized attendee registration, company information, resume submissions, QR-based attendance, and administrative tools into a single, modern system that significantly improved the event experience for both participants and organizers.

The Problem

Managing a large-scale career fair through traditional workflows created several operational challenges. Event registration, attendee verification, resume collection, and participant tracking relied heavily on manual processes, resulting in longer queues, fragmented information, and additional administrative workload. Organizers also lacked a centralized platform to efficiently monitor registrations, attendance, and event analytics.

Research

The system was designed through continuous collaboration with event organizers and stakeholders from CICSSG and AARO. Requirements were gathered by analyzing previous event workflows, identifying repetitive manual tasks, and understanding the operational needs of both administrators and participants. The primary goal was to simplify event management while providing attendees with a seamless digital experience from registration to event participation.

The Solution

ProSpace provided an end-to-end digital platform that supported the entire event lifecycle. Key features included: Online participant registration Secure authentication QR code generation and digital check-in Resume submission portal Company directory Career session information Administrative dashboard Registration and attendance analytics Automated email notifications Responsive experience across desktop and mobile devices The platform significantly reduced manual work while improving the efficiency of event operations.

Design Process

UI/UX designs were created collaboratively with the project's UI/UX designer, while development focused on faithfully translating the designs into a responsive and accessible web application. Throughout implementation, close communication ensured design consistency while making technical improvements where necessary to enhance usability, responsiveness, and overall user experience.

Development Process

The application was developed using a modern full-stack architecture centered around Next.js and TypeScript. Authentication and user management were implemented using Clerk, while MongoDB served as the primary database for storing registrations, participant information, and event data. Email confirmations and notifications were handled through Resend, and the application was deployed on Vercel for reliable performance and scalability. Development focused heavily on creating reusable components, secure server-side functionality, responsive layouts, and efficient data management. Additional attention was given to optimizing registration workflows, implementing QR-based attendance verification, and building administrative tools that simplified event monitoring and reporting.

Results

The platform successfully supported one of the university's largest career events by digitizing critical event operations. Project outcomes included: Processed over 2,000+ registrations Served 1,300+ event attendees Supported 40+ participating companies Managed 8 online career sessions Streamlined QR-based attendance verification Centralized resume submissions and participant management Reduced administrative workload through automation Improved the overall registration and check-in experience for both organizers and attendees The successful deployment of ProSpace demonstrated how modern web technologies can transform large-scale university event management into a more efficient, organized, and user-friendly experience.
